Build marketing knowledge that travels across AI tools
Create portable marketing knowledge with structured brand facts, evidence, ownership and access rules that can support several AI tools without duplication.
A marketing knowledge layer should preserve approved facts when the team changes AI tools. If essential context exists only in one assistant’s conversations, migration becomes an editorial reconstruction project. Keep authoritative knowledge outside the interface and make its structure usable by multiple approved systems.
Separate facts from writing instructions
Store product capabilities, offer conditions and evidence references as distinct records. Keep voice guidance and reusable task instructions separately. For a delivery claim, include the exact approved wording, applicable market, source, owner and review date. This prevents an attractive example sentence from quietly becoming a universal product promise.
Use stable identifiers and explicit versions
Give each fact a durable identifier and mark which version is current. A withdrawn claim should remain traceable in the archive without appearing in normal retrieval. Maintain English and Dutch wording as linked variants of the same underlying fact, with a record of who approved the translation. Plain structured files can be useful if their relationships and permissions are documented.
Expose a focused slice to each tool
Do not send every document into every assistant. Provide the records relevant to the task and enforce access at the source or integration layer. Anthropic’s tool-design guidance favors meaningful, focused context over unnecessarily broad responses. [1] For procurement, ask each vendor how it handles updates, deleted sources and references back to original records.
Run a portability rehearsal
Use the same approved knowledge snapshot in two different tools and ask each to prepare the same product summary. Check factual consistency and source traceability rather than identical wording. Then revise one offer condition and repeat. Success means the updated fact can travel without rebuilding the whole knowledge collection, while each assistant’s limitations remain visible.
