An export button does not guarantee a workable migration. A marketing team may retrieve conversation files yet lose the relationships, approvals and settings needed to continue the work elsewhere. Test an exit scenario before signing a long contract, while the cost of changing direction is still limited.

List what must survive

Inventory approved content, source documents, prompt instructions, brand knowledge, evaluation cases and output history. Mark which items must remain editable and which only need archival access. Include ownership and approval records. A folder of final PDFs may preserve appearance while losing the working structure that made a campaign maintainable.

Distinguish export from restoration

Ask for sample export files and a written statement of included objects, formats and exclusions. Claude’s personal-data documentation, for example, describes exports but says exported data cannot be imported into another personal Claude account. [1] This illustrates why data availability and restoration capability are separate procurement questions, not an assessment of every migration route.

Reconstruct one useful workflow

Choose a finished campaign brief and recreate the next revision in a different approved environment. Can a colleague recover the supporting evidence, current claims and approval status without reading months of chat? Time the reconstruction and record missing relationships. Keep credentials and access grants out of content exports; they need separate controlled reconfiguration.

Make exit costs visible

Estimate export fees, staff effort, parallel subscriptions and the period needed to preserve access. Specify who can request an export and what happens when an employee leaves. Confirm retention and deletion arrangements with the relevant owner. A successful rehearsal does not remove switching costs, but it turns an unknown dependency into a documented operating decision before your content library becomes difficult to move.
