Choose agency AI tools for separate client workspaces
Choose AI software for an agency by testing client separation, freelancer permissions, connector ownership and reporting across realistic workspaces.
A small agency needs more than a tool that writes good campaign copy. It needs to keep each client’s information, access and deliverables in the correct workspace while staff move between projects. Evaluate that operating model before extending individual AI subscriptions across the business.
Model the real team
Create fictional clients, an account manager, a designer and a freelancer with limited access. Specify which person can view source material, approve outputs and connect client systems. Include an employee who works on both clients. The test should reflect overlapping responsibilities rather than an unrealistically tidy one-person-per-client structure.
Distinguish organization controls from isolation
Claude’s enterprise announcement includes role-based access and connector controls, with capabilities depending on the plan. [1] Such controls are useful procurement evidence, but a feature named project or workspace does not by itself prove contractual or technical client isolation. Ask the vendor to explain the boundary and show how retrieval and sharing respect it.
Run a client-switching rehearsal
Prepare a brief for Client A, then switch to Client B and request a comparable output. Use distinctive fictional offer terms to identify contamination. Test search results, shared links, reusable instructions and connected storage. Confirm that the freelancer cannot retrieve the restricted client’s content through a different route, and that removing access has the intended effect.
Check billing and offboarding
Require a way to attribute usage to the right client without exposing their confidential content to other teams. Clarify ownership of connected accounts and who retains files when a contract ends. Price the needed administration tier into the shortlist. A low individual subscription cost is misleading if the agency must rely on memory and manual policing to keep client work separate.
