Keep chatbot prices and availability up to date
Design chatbot freshness checks for prices and stock, with clear source ownership and useful fallbacks when current product information cannot be verified.
A chatbot can explain a product from stable documentation, but price and availability need a different information path. Those facts may change after an article is published or even during a conversation. Separate descriptive knowledge from transaction information and define which system is authoritative for each changing field.
Identify the right version of the offer
Before quoting a price, resolve the product variant, quantity, market and any account-specific conditions. A general catalog value may exclude relevant tax, delivery costs or negotiated terms. Ask for missing context rather than giving a precise-looking amount that applies to a different purchase.
Request structured current data
Have the lookup return the relevant price or stock status together with currency, conditions, source and retrieval time. Anthropic’s tool guidance supports returning meaningful context to agents. [1] Your implementation should make a failed lookup distinguishable from a valid result showing no stock. An empty response must not be interpreted as zero price or guaranteed availability.
Handle unavailable evidence explicitly
If the live source is unavailable, state that the current amount or stock position cannot be confirmed. Offer the product page, a refresh or assistance through another channel. A cached value may be useful as clearly labeled historical context, but should not become a current promise. Define freshness rules with the team responsible for the underlying data.
Recheck before the commitment
Test a product whose stock changes between the first answer and checkout. Verify that the assistant updates its explanation and that the order system remains authoritative at purchase. Review mismatches between quoted and final prices, stale results and lookup failures separately. The aim is a truthful journey through changing information, including a useful response when certainty is temporarily unavailable, rather than a chatbot that always produces a number.
