Start AI marketing requests with the business problem
Create an intake process that captures the desired result, available evidence, data needs and accountable owner before choosing an AI marketing tool.
A request to ‘build an AI agent’ leaves the actual problem undefined. An effective intake process begins with the work people need completed and the obstacle preventing it. Tool selection follows once the team understands the task, evidence and consequences.
Ask for a concrete outcome
Request a recent example of the current process, its frequency and the intended recipient. Replace ‘make reporting smarter’ with a specific need, such as explaining which campaigns require investigation each Monday. Ask what a useful answer would let the recipient decide.
Capture the necessary context
Record source systems, data permissions, current instructions and the person who accepts the result. Separate required capabilities from preferences. Cowork’s enterprise material provides context for collaboration around AI work, but a product workspace cannot decide the business objective for the team. [1]
Triage by uncertainty and consequence
A task with stable inputs and an explicit routing rule may need ordinary automation. A task requiring interpretation may justify an AI pilot. Requests involving customer communication or live changes need a clear decision owner. Missing permission or missing source data should produce a specific dependency, not an indefinite item called ‘blocked’.
Return a useful intake decision
Accept the request into a bounded pilot, redirect it to an existing process or explain which evidence is missing. For example, a proposed lead-summary assistant could start with authorized sample records and a reviewer-defined accuracy check. Record the decision and revisit it when the dependency changes. A good intake process reduces repeated clarification while preventing enthusiastic tool requests from becoming unowned production systems.
